What is the difference between closing and canceling a PO line?

The purpose of closing PO lines is to complete the PO. The purpose of canceling PO lines is to mitigate an error during ordering (either a mistake processing the PO line in Alma or a problem on the vendor side resulting in the order not being delivered).

Closing Canceling

The following types of PO lines can be closed:

  • One-time PO lines that meet the following requirements:
    • Sent
    • Waiting for invoice payment
    • At least one resource has been received or activated
  • Continuous PO lines waiting for renewal

The following types of PO lines can be canceled:

  • Any active PO line, except ones being evaluated or waiting for invoice payment
Closed PO lines cannot be deleted Canceled PO lines can be deleted
Closed PO lines can be edited Canceled PO lines cannot be edited
Inventory is not deleted Alma attempts to delete the PO line's item and its holdings (only if the PO line is a main PO line)
Items can be received Items cannot be received
A task is added to the electronic activation task list (only for PO lines associated with electronic resources) No task is added to the electronic activation task list (only for PO lines associated with electronic resources). If an e-task already exists, it is deleted

Encumbrances are released

Encumbrances are released
Requests are not canceled Requests are canceled
