How do I clean up my Expired Hold Shelf?

Problem

The Expired Hold Shelf in most libraries’ Institution Zones (IZs) contains old holds that lead to confusion for fulfillment staff and inaccurate inventory.

 

Solution

Cleanup will vary depending on the Expired Hold Shelf tab.

 

Reshelve tab
  1. Go to Fulfillment > Resource Requests > Expired Hold Shelf > Reshelve.
  2. For every item you have on hand:
    1. Click Reshelve.
    2. Put the item back on the shelf.
  3. For every item you don’t have on hand:
    1. Click Mark as Missing.
    2. Proceed with your local search process.
Send to Circulation Desk tab
  1. Go to Fulfillment > Resource Requests > Expired Hold Shelf > Send to Circulation Desk.
  2. For every item you have on hand:
    1. Click Transit.
    2. Either send the item to a different circulation desk or change your location in Alma to a different circulation desk.
    3. At the appropriate circulation desk, scan in the item.
    4. Put the item back on the shelf.
  3. For every item you don’t have on hand:
    1. Click Mark as Missing.
    2. Proceed with your local search process.
Send to Library tab
  1. Go to Fulfillment > Resource Requests > Expired Hold Shelf > Send to Library.
  2. For every item you have on hand:
    1. Click Transit.
    2. Send the item to the appropriate library.
    3. At the appropriate library, scan in the item.
    4. Put the item back on the shelf.
  3. For every item you don’t have on hand:
    1. Click Mark as Missing.
    2. Proceed with your local search process.
Activate Next tab
  1. Go to Fulfillment > Resource Requests > Expired Hold Shelf > Activate Next.
  2. For every item you have on hand:
    1. Click Activate Next.
    2. Process the item for the hold shelf.
  3. For every item you don’t have on hand:
    1. Click Mark as Missing.
    2. Proceed with your local search process.
Send to Institution tab

The exact workflow for dealing with other libraries' items on your expired hold shelf depends on whether the items are on hand.


Before diving into the instructions, make sure you understand the difference between the borrowing institution and the owning institution:

  • The borrowing institution is the one cleaning up the Expired Hold Shelf. (You work at LaGuardia Community College, and you are looking at the Expired Hold Shelf in your IZ. LaGCC is the borrowing institution.)
  • The owning institution is the one whose items are on the Expired Hold Shelf. (There is a book from the College of Staten Island on your Expired Hold Shelf. CSI is the owning institution.)

Item(s) you have on hand:
  1. The borrowing institution should:
    1. Go to Fulfillment > Resource Requests > Expired Hold Shelf > Send to Institution.
    2. Check the box next to the item(s).
    3. Click Transit.
    4. Send the item(s) to the owning institution.
  2. The owning institution should scan in the item(s) in their IZ upon receipt.

 

Item(s) you don’t have on hand

The item(s) will need to be searched at both institutions.

 

A. If the borrowing institution finds the item(s):

  1. The borrowing institution should:
    1. Go to Fulfillment > Resource Requests > Expired Hold Shelf > Send to Institution.
    2. Check the box next to the item(s).
    3. Click Transit.
    4. Send the item(s) to the owning institution.
  2. The owning institution should scan in the item(s) in their IZ upon receipt.

 

B. If the owning institution finds the item(s):

  1. The borrowing institution should:
    1. Go to Fulfillment > Resource Requests > Expired Hold Shelf > Send to Institution.
    2. Check the box next to the item(s).
    3. Click Transit.
  2. The owning institution should scan in the item(s).

 

C. If the item(s) can’t be found anywhere:

  1. The borrowing institution should:
    1. Go to Fulfillment > Resource Requests > Expired Hold Shelf > Send to Institution.
    2. Check the box next to the item(s).
    3. Click Transit.
  2. The owning institution should proceed with their local search process.
