How do I upload a list of items, patrons, etc. to Alma?
Sets in Alma are essentially lists. A set can consist of the following content types
- All titles
- Authorities
- Citations
- Collections
- Courses
- Digital files (not in use at CUNY)
- Digital titles (not in use at CUNY)
- Electronic collections
- Electronic portfolios
- Electronic titles
- PO lines
- Physical holdings
- Physical items
- Physical titles
- Reading lists
- Users
- Vendors
Every set must consist entirely of one content type. For instance, you can’t have a set of Electronic Titles and Physical Titles; these would have to be in separate sets.
1. Create a text file (.csv or .txt) or an Excel spreadsheet with a heading in the first row followed by your list, with one entry on each row. For instance, if you're creating a Physical items set, your file would have the word "Barcode" at the top followed by a list of barcodes. If you're creating a Users set, your file would have the phrase "PRIMARYIDENTIFIER" at the top followed by a list of EMPLIDs. See the table at the end for a list of accepted file headers.
2. Go to Admin > Manage Jobs and Sets > Manage Sets.
3. Click Create Itemized Set.
4. Enter information about the set.
a. Set name: think of a descriptive name that will make it clear to you and your colleagues what is in the set.

d. Set content type: choose a format that corresponds to your list. See the table below for more information.
e. Content Origin: set this to Institution only.
f. Private: uncheck the box if you want your colleagues to be able to view and use the set.
g. Active: uncheck the box if you don't want the set to be used in jobs.
5. Under "Add items to set," choose From File.
6. Drag a file to the box or click Upload a file.
7. Click Create.
You will be taken to the "Manage Sets" page. Refresh the results if you don't see your new set.
