How do I highlight a set of titles in a collection in OneSearch?
You can create lists of items in Alma and display them in OneSearch. This is a great way to highlight your library's resources and promote content. Here are some examples from CUNY libraries:
- Borough of Manhattan Community College
- The City College of New York
- College of Staten Island
- John Jay College of Criminal Justice
- Lehman College
- New York City College of Technology
- Queens College
- York College
The following roles can work with collections:
- Collection Inventory Operator
- Collection Inventory Operator Extended (required for deletion)
- Digital Inventory Operator (not in use at CUNY)
Create a Collection
1. Go to Resources > Manage Inventory > Manage Collections.
2. Click Add Top-Level Collection.
3. Fill out the information, paying attention to the required fields. You can view descriptions of the fields here.
4. Click Save.
Create a Sub-Collection
If you want to divide your collection into one or more sub-collections, you must first create a top-level collection. Once that has been created:
1. Click on the name of the top-level collection or edit it.
2. In the "Sub-collections" tab, click Add Sub-collection.
3. Fill out the information, paying attention to the required fields. You can view descriptions of the fields here. Note that the "Library" is inherited from the top-level collection.
Add Titles to a Collection
You can either search for items/titles and add them manually one at a time or you can create a set and then add the items/titles from the set.
Search and Add Manually
1. In the "Title List" tab of your collection, click Add Title.
2. Although you are restricted to an All Titles search, you can choose one of many fields to search (e.g., title, author, keyword). The search can be performed in the Institution Zone (IZ), Network Zone (NZ), or Community Zone (CZ). There is also an advanced search option.
3. In the results list, check the box next to any title(s) you want to add, then click Add Titles.
4. Click Confirm.
Add from a Set
1. In the "Title List" tab of your collection, click Add Titles from Set.
2. In the results list, click the circle next to the set you want add, then click Add Set Titles.
3. Click Confirm. Depending on the size of the set, it may take a while for all titles to be added.
Remove Titles from a Collection
Remove One Title
In the "Title List" tab of your collection, you can either:
- Check the box to the left of the title you want to remove and click Remove Selected.
- Click the button to the right of the title you want to remove and click Remove.
Remove Multiple Titles
In the "Title List" tab of your collection, check the boxes to the left of the titles you want to remove and click Remove Selected.
Remove All Titles
In the "Title List" tab of your collection, click Remove All.
Delete a Collection
You cannot delete a collection if it has any associated titles. To delete the collection, first remove any associated sub-collections and/or titles. After those have been removed:
1. Click the button to the right of the collection, then click Delete.
2. Click Confirm.
Make the Collection Discoverable
When you first create a collection, you have the option to "Suppress from Discovery." After the collection has been created, you can change this setting by opening the bibliographic record in the Metadata Editor and going to Record Actions > Suppress from Discovery. You will able to use the permalink for the collection whether or not the record is suppressed. Go to the "Discovery" tab of the collection and look for the "View in Discovery" link (it may be hidden on a small screen). This is useful if you don't want the collection to show up in regular searches, but you want to share the collection with others in an email, on a LibGuide, or elsewhere.
When the bibliographic record is unsuppressed, the collection will be visible on the record page of each individual title in OneSearch. There is an option to browse other titles in the collection or click a link for this collection.
You can also place a link to all your collections at the top of every OneSearch page. Ask OLS to configure this for your library.
